RECURRING ROOM RESERVATION RENEWALS Group facilitators are encouraged to reach out to Clubhouse Office Manager Sheila Moreland via email at smoreland@lakeashtoncdd.com to ensure contact information on file is correct. Forms will be sent electronically to facilitators on November 1 to renew recurring reservations for 2024. Forms need to be returned by November 17. After this date your reserved room cannot be guaranteed. As a reminder, annual Club events can be booked at any time, up to 3 years in advance. Please reach out to Sheila at the email above or via phone at 863-324-5457 with any questions. Please be mindful of the following excerpted policies from the Joint Amenity Facilities Policies as it relates to reserving facilities. With the exception of designated Open Play (as defined in Section X – Amenity Policies – General Usage), reservations may be available for up to two (2) hour increments for all facilities listed in this policy, with the exception of the Clubhouse Ballroom and HFC Community Center. These can be reserved for periods up to four (4) hours. Longer time increments may be approved by the Amenity Manager. Amenities that have not been reserved are available for use on a “first come, first served” basis. There are no personal standing weekly reservations allowed for the Amenity Facilities listed in the reservation policies. Lake Ashton activities taking place within the Amenity Facilities should be open to all Lake Ashton residents and not be labeled as “private”. If a standing reservation made by a registered Club, Group, or Organization is cancelled or unused more than three (3) times in a six (6)-month period then the reservation may be revoked by the Amenity Manager. This does not apply to a Club, Group, or Organization going on a planned hiatus previously arranged with Staff. JOINT AMENITY FACILITIES POLICY HIGHLIGHT CARD ROOMS/HFC BILLIARD ROOM/CLUBHOUSE GAME ROOM/HFC POKER ROOM 1. Due to the large demand for these rooms, reservations should include the number of tables required to meet the needs of the group. Tables not used will be made available for use by another group or Individual. 2. Amenity reservations are non-exclusive. At the Amenity Manager’s discretion and depending upon scheduling availability, reservations for multiple groups may be booked at the same time in this room. When multiple group activities are scheduled, please be courteous of others. 3. Residents booking the Clubhouse Game Room for a Lake Ashton Club, Group, or Organization meeting or activity should be aware that the room will still be available for Billiards play.
